1. Scope of this Policy
This Cancellation & Refund Policy applies to iamadroid subscriptions, trials, renewals, cancellations, refunds, usage charges, add-ons, annual-plan conversions and telephony services, including:
- AI Agents: website AI chat agents for leads, support, bookings, knowledge answers, receptionist-style routing and customer enquiries.
- AI Phone: AI voice agent and AI call-handling services.
- Business Phone: non-AI business telephony services, business numbers and related phone features.
This policy applies unless a separate written agreement, enterprise order form, mandatory consumer right or applicable law gives you different rights.
2. Statutory Rights and Business Customers
Nothing in this policy limits statutory rights that cannot legally be excluded. If you are a consumer and applicable law gives you a cooling-off, cancellation or refund right, we will honour that right. Different rules may apply to business customers, consumers, digital services, services already started with your consent, bespoke setup work, telephony usage, number provisioning and third-party pass-through costs.
Most iamadroid customers are expected to be businesses. If you purchase for a company, organisation, trade, profession or business purpose, you may not have the same cancellation rights as an individual consumer.
3. AI Agent 14-Day Free Trial
iamadroid offers a 14-day free trial for AI website agents. The trial is intended to let you test the AI Agent product before choosing a paid plan.
- The trial applies to AI website agents unless expressly stated otherwise.
- AI Phone and Business Phone are separate products and are not automatically included in the AI Agent trial.
- At the end of the trial, continued use requires a paid plan unless we agree otherwise in writing.
- Trial abuse, duplicate accounts, linked accounts or attempts to bypass usage controls may result in suspension or refusal of service.
4. AI Agent Paid Plans: Billing Cycles
AI Agent plans may be billed monthly or annually, depending on the option selected during checkout. Paid plans renew automatically unless cancelled in accordance with this policy and the applicable subscription terms.
- Monthly AI Agent plans: billed monthly and subject to 60 days’ termination notice.
- Annual AI Agent plans: billed annually and subject to the annual-plan cancellation rules below.
- Enterprise plans: may be subject to a separate written order form or contract.
- AI Phone and Business Phone plans are separate from AI Agent plans.
5. Termination Notice for AI Agent Plans
To terminate a paid AI Agent plan, you must give at least 60 days’ written termination notice. Notice should be sent through the account cancellation process where available, or by contacting us through Contact Us.
- Cancellation stops future renewals after the applicable notice period and any applicable term adjustment.
- Cancellation does not automatically refund the current billing period.
- You remain responsible for charges, usage, overage, taxes and fees incurred before termination takes effect.
- Deleting an agent, removing a widget, disconnecting a website, or stopping use of the service is not the same as terminating the subscription.
6. Annual AI Agent Plans Cancelled During the Term
If you cancel an annual AI Agent plan before the end of its annual term, iamadroid may convert the plan retrospectively to the equivalent monthly plan from the start date of that annual term.
- We will calculate what you would have paid on the corresponding monthly plan from the start of the annual term up to the effective termination date.
- If the recalculated monthly amount is lower than the annual amount you paid, any balance due to you may be refunded after deduction of any outstanding usage, overage, taxes, chargebacks, unpaid fees or other amounts owed.
- If the recalculated monthly amount is higher than the amount you paid annually, iamadroid may write off the difference instead of collecting it.
- Where iamadroid writes off a shortfall, we may allow you to continue using the annual plan until the original annual term ends, rather than ending the plan early.
- Annual-plan conversion does not refund usage already consumed, add-ons, overage, integrations, custom setup or third-party pass-through costs.
7. Downgrades and Plan Changes
You may request a plan change, but downgrades and changes may not take effect immediately.
- Downgrades normally take effect at the next renewal date or after the applicable notice period.
- Upgrades may be billed immediately or from the date of upgrade, depending on checkout and billing configuration.
- Changing plan does not remove responsibility for charges, usage or overage already incurred.
- Where a plan change resets a renewal date, the new renewal date will be shown during checkout, billing or account confirmation where available.
8. AI Phone and Business Phone Plans
AI Phone and Business Phone plans are annual services charged monthly at a fixed rate unless otherwise agreed in writing. They are not month-to-month casual services merely because payment is collected monthly.
- AI Phone: for AI call handling and AI voice agent workflows.
- Business Phone: for non-AI business telephony service.
- Both products are separate from AI Agent website chat plans.
- Both products require 60 days’ written termination notice unless a separate written agreement or applicable law says otherwise.
9. Telephony Cancellation and Minimum Commitment
Telephony services may involve number provisioning, carrier commitments, verification checks, regulatory obligations, third-party provider costs and monthly capacity reservation. For that reason, cancellation may not take effect immediately when notice is submitted.
- You must give at least 60 days’ written notice to terminate AI Phone or Business Phone services.
- You remain responsible for all fixed monthly charges during the notice period.
- You remain responsible for call usage, number fees, carrier costs, regulatory fees, taxes and overage incurred before termination takes effect.
- Phone numbers may be released, disconnected or made unavailable after termination unless number porting is available and completed in time.
- Number porting is not guaranteed and may require forms, identity checks, address checks, provider approval and additional time.
10. Telephony Charges That Are Not Refundable
Unless required by law or expressly agreed by iamadroid, the following telephony charges are non-refundable once incurred:
- phone number reservation, provisioning, activation, monthly number rental or number maintenance fees;
- AI Phone or Business Phone minutes already used;
- inbound or outbound call usage;
- carrier fees, telecom provider charges, regulatory charges, emergency-service-related charges and pass-through costs;
- KYC, KYB, address validation, number verification or compliance-related costs;
- setup, configuration, onboarding, custom routing or custom implementation work;
- charges caused by incorrect customer configuration, forwarding, routing, numbers, addresses or account details.
11. Usage, Overage and Add-ons
Some plans may include conversations, tokens, minutes, numbers or other allowances. Additional usage may be charged as overage, add-ons, bundles or pass-through costs.
- Unused included usage does not roll over unless expressly stated.
- Usage already consumed is not refundable.
- Overage and add-on purchases are not refundable once applied, consumed or made available for use.
- Telephony usage may be billed by minute, part-minute, destination, number type, carrier cost or plan-specific rule.
- AI Agent usage, AI Phone usage and Business Phone usage are measured separately.
12. Payment, Taxes and Currency
You are responsible for all applicable subscription fees, usage fees, taxes, duties, payment processing charges, telecom charges, regulatory fees and pass-through costs.
- Refunds, where approved, are normally issued to the original payment method.
- Refunds are normally issued in the original payment currency where possible.
- Payment-provider, card-network, currency-conversion or bank fees may not be recoverable.
- Taxes and duties are handled according to the billing address, payment region, applicable law and payment-provider rules.
13. Billing Errors
If you believe you have been billed incorrectly, contact us promptly through Contact Us. Please include your account email, business name, invoice number, payment reference and a short explanation.
- If we confirm a billing error, we may issue a refund, credit or invoice correction.
- Approved refunds are normally returned to the original payment method.
- Payment-provider processing times are outside our control.
14. Data and Account Effects After Cancellation
When a plan is cancelled or terminated, your account access, admin features, agents, phone numbers, call routing and related services may be limited, disabled or ended.
- You are responsible for exporting any data you need before termination takes effect.
- Chat logs, call logs, transcripts, summaries, analytics and related records are retained, deleted or anonymised according to plan rules, legal requirements and our retention policy.
- We may retain certain records where required for billing, security, fraud prevention, legal compliance, dispute handling, telecom compliance or tax purposes.
- Phone numbers may be released after termination and may not be recoverable.
15. Non-Refundable Events
Unless required by law, refunds are not available for:
- failure to give the required termination notice;
- failure to cancel before renewal;
- unused time in an active billing period;
- unused plan allowances;
- lack of use after purchase;
- change of mind after a paid period begins;
- incorrect customer setup, prompts, routing, forwarding, website installation, phone configuration or number details;
- usage by your staff, contractors, agents, administrators or invited users;
- suspension or termination caused by breach of our Terms, Acceptable Use Policy, law, carrier rules or provider requirements;
- third-party provider outages, internet outages, power outages, carrier disruption or service limitations outside our reasonable control.
16. Service Outages and Credits
iamadroid uses third-party services, including AI model providers, telecom providers, number providers, payment providers, hosting providers and communications infrastructure. Outages do not automatically entitle you to a refund.
Unless a separate service-level agreement applies, we may offer credits at our discretion where there is a confirmed material service failure caused by iamadroid.
17. Chargebacks and Payment Disputes
Please contact us before starting a chargeback so we can review the issue. If you initiate a chargeback or payment dispute, we may suspend the affected account, subscription, agents, phone numbers or services while the dispute is investigated.
Fraudulent, abusive or repeated chargebacks may result in termination and refusal of future service.
18. How to Give Termination Notice or Request Review
To give termination notice, request cancellation help, or ask for a refund/billing review, please use Contact Us and include:
- your account email address;
- your business name, if applicable;
- the plan or product involved;
- whether the request relates to AI Agents, AI Phone or Business Phone;
- the invoice, payment or subscription reference;
- the requested termination date;
- a short explanation of the request.
Termination notice is not effective until received by iamadroid through the required channel and matched to the correct customer account.
19. Changes to this Policy
We may update this Cancellation & Refund Policy from time to time. Material changes will be posted on this page and will generally apply to future purchases, renewals or new order terms, unless applicable law requires otherwise.
